I know that sounds contradictory but here's the situation:

We have a member who wants to organise field trips and would like to set up a forum category to promote the idea and communicate with like minded others and for that a sub-groop seemed ideal as its members would get emails of the posts automatically. The downside is that all mention of field trips is then hidden from browsing regular members as they can't see or browse the sub-groop.

Our forum users don't get post notifications by default (they think it's intrusive) and getting the interested members to "opt in" is hard. What I could use is the option to allow non-members of a sub-groop to browse it and then be told they need to join (or apply to the owner) to be able to post in that category which would then switch email notification on. A sort of semi private or enthusiasts groop.

Any suggestions as to how to achieve our goal would be welcome!

So now he needs to communicate with 12 members to organise a meeting - how can he do it?
